What services can I expect to receive from Matik Management?

The following are some of the services we offer: Professional leasing, tenant services, rent collection, market analysis, budget creation and management, detailed financial reports, accurate operating reports, expense management, CRP preparation, excellent customer service, and expert compliance services. In addition, we have built strong relationships with vendors, ensuring you access to the best quality and best pricing for services like general maintenance, common area cleaning, turn maintenance/cleaning, 24 hour on-call maintenance, lawn service, snow removal, and the best property inspections around. They're all a part of the package when you work with Matik Management.

Do you require a rental certificate for my property?

Property owners are required to obtain a rental certificate from the city of Rochester. This cost can vary depending on the type of property you have: a single family home is $154 for the initial inspection. Multi-family properties and certificate renewals are $90 + $30 per unit. Properties are renewed every two years.

How does Matik handle the income and expenses for my property?

Once we begin our business relationship, we will setup two separate bank accounts: A deposit account and an operating account. The deposit account retains any tenant security deposits. The operating account maintains funds for daily operations, and requires a $200 minimum balance. This is the account that will be used to deposit rents, pay your mortgage, cut your distribution check, pay our management fee, cover your monthly recurring property bills, and escrow your annual expenses. The operating account also pays out all maintenance expenses such as routine repairs, unit turns, lawn care, and snow removal.

How long is the contract with Matik and can I cancel at any time?

Initial contracts are set for one year, and are also set to auto renew unless we are provided with at least 60 days prior notice at the end of the contract of the desire to cancel. Because we refrain from charging any up front leasing fees, and the bulk of our work is essentially done up front, it is important for Matik to secure a one year contract.

What is the management fee? Is this charged regardless of vacancy status?

Management fees are structured as a percentage of all income collected and are based on a sliding scale depending on the number of units we manage for you. It is important to point out that we do not charge up front leasing fees or renewal fees; and unlike our competitors, discretionary income such as late fees, application fees, etc., is not confiscated but rather is collected as income for the owner. While our competitors charge fees on a monthly basis independent upon the performance of you property, at Matik Management we believe we should earn our management fee. Therefore, we do not collect a fee unless your property is earning income. We would enjoy the opportunity to discuss management fees with you further, and look forward to your call.

What additional fees should I expect?

We pride ourselves on controlling the costs that are passed onto you. You'll find we are up front and open with what you're getting in choosing us as your property management firm. We only have one fee beyond your monthly management fee: a technology fee of $50 per year per unit. There are no other fees to expect from us.

What does the technology fee cover?

At Matik Management we have found utilizing the latest technology enables us to provide the best service at a lower overall cost. For a minimal monthly fee you are receiving a host of benefits.

  • We employ electronic record keeping.
  • We are in the process of deploying a state of the art Voice over IP system that provides increased communication streams between us and clients, tenants and prospective tenants interested in your home.
  • We use the highest level in property management software, allowing us to track you properties expenses and income with the highest level of accuracy.
  • We provide our maintenance staff with smart phones in order to quickly access the internet for researching and ordering parts, tracking jobs, etc.
  • We provide services for online payments, including credit card use or automatic withdraws for rent payments.
  • We provide owners with direct deposit for distributions and remote bank capture.

Can you manage my property if I already have a tenant on a lease?

Absolutely. We will inform the current tenant of the change in management, have them sign our tenant agreement, and provide them with all information needed for paying rents, contacting us for maintenance issues/repairs, etc.

Can I choose to allow pets or not?

Yes. We will give you a comprehensive list of pros and cons so you can be confident when making your decision.

How often does your staff inspect my property?

Inspections are completed roughly two months after a tenant moves in. At that time we assess how often the home should be re-inspected.

In addition, our team members are instructed to notify us if they see any issues or have any concerns about a property when they are completing work orders. This may also lead to unscheduled re-inspections.

Who determines the rents?

Due to our large market share, we are able to stay current with today's values for all property types in and around Rochester and southeastern Minnesota. This gives us an edge on being able to list and advertise your property at a competitive, yet desirable rate.

How do you advertise rental properties?

We use many mediums to advertise available homes including the internet, yard signs and referrals. One of the largest generators of leads is from our website. Matik Management has a large market share and prospective tenants that come to our website to browse all of our availabilities.

Am I allowed to go inside the home or contact the tenant after it is rented?

Hiring a management firm can provide you with a buffer between yourself and the worry and hassle that comes with the investment owning experience. However, the property is still available for viewing and you can contact your tenant at any time. Prior to entering the home we must provide the tenant with a 24-hour confirmed notice.

How do I know I'm getting a good tenant?

We understand that owners are very concerned about housing the best tenants. Matik Management uses a thorough screening process that complies with all state and federal laws. Before leasing the home, a Matik Management leasing professional will work with you to create criterion for all prospective tenants. We will then use this criteria to search for the best tenant for your home.

Who is responsible for lawn care, snow removal, and pest control?

Care of your property's exterior can be handled by our staff, the resident, or an outside vendor. Prior to Matik managing your property, these and other responsibilities that we may provide will be decided by you.

Who is responsible for the utilities?

You, as the owner, can determine this. Depending on several factors about your property, there are various pros and cons to letting the renters pay the utilities. To make sure essential utilities such as heat remain on despite the tenant's ability to pay, you may wish to have Matik pay for these bills.

Should you decide to have the tenant be responsible for any utilities, they will change the billing to be under their name and are required to pay the bill when due.

Who pays the property's recurring monthly bills?

Matik Management can make any or all recurring payments for you including but not limited to: utilities, vendors, mortgage, escrows, etc.

Where does the tenant pay their rent?

Tenants can mail a check to our office, hand deliver a check to our office drop box, or pay their rent online via our website. We offer a secure payment portal where tenants can choose a one-time withdrawal from their bank account, setup recurring withdrawals from their checking or savings account, or credit card information for payment.

What happens if a tenant doesn't pay rent?

Rents are due on the 1st of each month (unless otherwise stated in their lease). By the 3rd of the month, they are considered to be late and a late fee is assessed. Our standard late collection procedure includes written notice, phone calls, and personal visits. We try to avoid legal intervention if possible, but if it becomes clear that the tenant is unable or unwilling to pay their rent, you will be contacted to discuss options for removing them from your property.

What is your eviction process, and who pays for it?

If necessary, we will (with your approval) proceed with an eviction process. There is a $300 filing fee, a $60 service fee, and an attorney fee. This process is considered a management duty, so you will not be charged for Matik Management time.

Will tenants ever contact me?

No. Tenants are not given access to owner personal contact information.

When will I receive a disbursement check and how will I receive it?

Rents are due on the first of each month. Owner disbursement checks are mailed or directly deposited between the 6th and the 10th, unless that rent payment has been delayed. The direct deposit option is provided at no extra cost to you.

You will also receive a detailed monthly statement that shows all income and expenses for your property for the month that you are receiving the distribution.

Am I informed of all repairs you make on my property?

Our standard management agreement allows for us to make repair decisions for small, inconsequential, or emergency repairs. For larger cost repairs (those that would exceed $500), you have the option of choosing from three bids which we will provide, or simply giving us your expressed approval to our recommendation. Either way, you will be notified of repairs that may cost $500 or more. All maintenance items completed on the property will be listed on your monthly financial report.

What happens if there is an emergency?

We have a 24 hour emergency line for tenants to call in cases of emergency. At that time we will determine the severity of the issue and handle it with the utmost concern for the tenant and the property.

How can I stay informed about my property?

We provide monthly reports containing all your financial information. You can access your property information online, giving you the opportunity to follow the progress of each property/unit. Through an owner portal on our website, you can sign in with a unique username to view your properties managed by Matik Management, any units currently listed as available, current rent amounts being collected for each, and download your monthly statements.

I want to sell my property - can you list it for me?

Not only are we a property management company, but we are also licensed Real Estate agents. We are constantly in contact with other investors, making us the best choice when you are looking to sell your investment property. Can you help me if I'm interested in buying investment property?

The agents at Matik Management are versed in the rental industry making us the best choice when considering purchasing an investment property. We can identify income producing potential and assist you in ways no other agents can. As investors ourselves, we will give you the advice that we use in our purchases.

How can a real estate investment profit me?

We believe investing in necessities is a great way to profit in the future. Housing is something that people will always need and real estate is a diminishing commodity. When you purchase an investment property, you are attempting to gain an asset that is essentially paid by another person (your tenant). After an established period of time, that asset is fully paid for and the property can either continue to earn income on a monthly basis or can be sold.
